Overview

What is IMAP Email Sync: IMAP Email Sync is built on imapsync, a command-line tool maintained by Gilles Lamiral since 2001 for incremental, one-way IMAP-to-IMAP mailbox transfers between IMAP-compatible servers. It copies email messages, folder hierarchies, flags, attachments, and internal dates without generating duplicates, and it supports major IMAP providers and server platforms.

How to integrate IMAP Email Sync with Datagrid

Use this integration when your team needs to move mailbox data from a source IMAP server to a destination, then run follow-on workflows against messages, folders, and transfer metadata inside Datagrid. Integration setup, mailbox authentication, sync behavior, and prerequisites are covered in the four sub-sections below.

Configure the integration

  1. Open Datagrid and click + Create, then Connect Apps.

  2. Search for IMAP/Email Sync in the integrations list.

  3. Enter the source IMAP server address, username, and password.

  4. Enter the destination IMAP server address, username, and password.

  5. Click Next.

  6. Select the data types to include: transfer logs, statistics, error reports.

  7. Click Start First Import.

Confirm prerequisites

Before you run the first sync, confirm that both IMAP environments are ready and that destination accounts already exist.

  • Your environment must have access to the imapsync command-line tool on Windows, Linux, or Mac OS X.

  • You need IMAP server details (host, port, SSL settings) for both source and destination accounts.

  • You need valid credentials (username and password, or OAuth tokens) for both accounts.

  • Destination accounts must be provisioned before syncing, because IMAP cannot create accounts; imapsync creates folders within an existing destination account automatically during the sync.

Why use IMAP Email Sync with Datagrid

This integration fits operators running mailbox migrations and downstream workflows that require repeatable follow-on execution without manual review of every message or transfer log. Here's why you need to integrate IMAP email sync with Datagrid:

  • Agent-driven email classification: Datagrid's AI agents categorize migrated messages by content type, such as contracts, invoices, HR communications, or legal correspondence.

  • Automated migration validation: AI agents analyze imapsync transfer logs and error reports to flag failed transfers, throttling events, and message count discrepancies across batches.

  • Entity extraction from email bodies: Agents pull structured data, including company names, monetary amounts, dates, and product references, from unstructured email content and route it to downstream business systems.

  • Scheduled incremental sync: Operators configure recurring sync runs on daily, weekly, or monthly schedules without scripting cron jobs or maintaining custom infrastructure.

  • Cross-platform mailbox support: Project teams connect any IMAP-compatible server through a single integration configuration, regardless of hosting provider or server platform.

What you can build with IMAP Email Sync Datagrid integration

IMAP Email Sync works well when your team needs to move mailbox data into a controlled workflow, then classify, validate, and route that data with Datagrid's AI agents. Here are some examples of what you can build with IMAP Email Sync integration with Datagrid:

  • Enterprise migration with automated QA: Migrate thousands of mailboxes from an on-premise email server to a cloud email platform.

  • Compliance and eDiscovery pipeline: Extract emails by date range, user account, or folder from any IMAP server using admin authentication.

  • Email-driven order processing: Sync operational mailboxes on a recurring schedule so Datagrid agents extract line items, quantities, and totals from attached order forms.

  • Email archiving with intelligent classification: Run scheduled incremental syncs to a dedicated archive store using imapsync's --subfolder2 pattern, then have Datagrid agents classify archived emails.

Frequently asked questions

Does IMAP Email Sync support bidirectional synchronization?

No. imapsync transfers data in one direction only, from source (host1) to destination (host2), and the official imapsync FAQ recommends alternative tools for two-way scenarios. Within Datagrid, the integration operates as a one-way data feed into your AI processing pipelines.

Can I migrate contacts and calendars with this integration?

No. imapsync operates exclusively over the IMAP protocol, which does not expose contacts or calendars. Dedicated migration utilities are required for calendar and contact data.

Do destination mailboxes need to exist before syncing?

Yes. Destination accounts must exist before syncing, because IMAP cannot create accounts. Within an existing destination account, imapsync can create destination folders as needed during transfer.

What data objects does Datagrid process from IMAP Email Sync?

Datagrid ingests mailbox content and run data from the integration, including messages, folders, transfer logs, statistics, and errors. Datagrid's AI agents can analyze that operational data for migration health monitoring and anomaly detection.
