Overview

What is Exchange: Microsoft Exchange Online is the cloud-based messaging platform behind Microsoft 365. It delivers enterprise email, calendaring, contacts, and tasks across desktop, web, and mobile devices. Operators managing business communications and project teams coordinating across departments use it to send and receive email, schedule meetings, manage contacts, and organize tasks within a centrally administered environment.

Datagrid's Exchange integration pulls email messages, calendar events, contacts, and related metadata into datasets where agentic AI agents act on them. Teams connect Microsoft Exchange Online once and schedule automatic imports. No CSV exports or custom scripts are required. Datagrid agents then analyze communication data alongside records from other connected systems, extract structured insights, and generate outputs from imported Exchange datasets.

The integration imports email messages, calendar events, contacts, and attachments associated with imported messages and supported events into Datagrid. Once inside Datagrid, agents combine this data with records from CRM systems, accounting systems, or data warehouses. That gives operators running mission-critical programs a complete picture of communication activity across workflows.

How to integrate Exchange with Datagrid

This setup gives operators a direct path to bring Exchange communication records into Datagrid for recurring analysis. The steps below show how to start the integration, configure recurring imports, authenticate Microsoft 365 access, and review sync details.

The Exchange integration imports email, calendar, and contact data from Microsoft Exchange Online into Datagrid datasets through Microsoft Graph. It syncs messages, events, contacts, and attachments associated with imported records where available. Group calendar events do not include attachments.

Start the setup

Follow these steps to create the integration, begin your first import, and configure recurring imports:

  1. Click + Create in the top left of the Datagrid interface.

  2. Select Connect Apps.

  3. Search for the Exchange integration from the list.

  4. Authenticate with your Microsoft 365 account when prompted. Datagrid uses OAuth 2.0 through the Microsoft identity platform, and you authorize access to your Exchange Online data during this step.

  5. Click Next.

  6. Select the Exchange data you want to import (Email Messages, Calendar Events, Contacts, or Attachments).

  7. Click Start First Import to begin syncing your dataset.

  8. Open the Exchange dataset from the left side panel.

  9. Click ... in the top right of the dataset.

  10. Click Edit Pipeline to adjust your integration configuration.

  11. Click Schedule (next to the Import Configuration button).

  12. Set the frequency: daily, weekly, or monthly.

  13. Specify the time of day for each import.

  14. Set downtime windows if needed, which are periods when the sync should not run.

  15. Click Update to save.

Authenticate Microsoft 365 access

The Exchange integration uses OAuth 2.0 authentication through the Microsoft identity platform. You need a Microsoft 365 account with Exchange Online access. During the integration setup flow in Datagrid, you sign in to your Microsoft account and authorize Datagrid to read your Exchange data through Microsoft Graph. Datagrid handles token acquisition and refresh automatically.

Review data sync details

Use the list below to confirm the core sync behavior for the Exchange integration.

  • Direction — One-way (Exchange → Datagrid)

  • Data objects — Email Messages, Calendar Events, Contacts, Attachments

  • Sync mechanism — Scheduled imports

  • Authentication — OAuth 2.0 (Microsoft 365)

Why use Exchange with Datagrid

Exchange data becomes more useful when Datagrid agents analyze it alongside the rest of your operating data. For operators and project teams that need answers and action, not admin, this integration turns routine communication records into executable workflows.

  • Automated email data extraction: Agents parse email content, extract key entities from message bodies and headers, and organize information into structured datasets, replacing manual inbox review.

  • Cross-dataset communication analysis: Datagrid agents join email and calendar data with CRM records, project data, and accounting systems. Operators see relationship patterns and communication gaps across the business.

  • Calendar-driven workflow automation: Agents analyze imported calendar events from scheduled syncs and initiate downstream actions based on scheduling patterns, meeting frequency, or approaching deadlines. They flag meetings without follow-ups and surface scheduling conflicts.

  • Contact enrichment and deduplication: Agents cross-reference Exchange contacts with records from CRM, accounting, and other connected systems. They identify duplicates, fill missing fields, and flag inconsistencies across sources.

  • Agentic reporting: Agents generate communication summaries, meeting activity reports, and contact engagement analyses autonomously. They then route results to the right stakeholders.

What you can build with Exchange Datagrid integration

Exchange records can power far more than inbox review once they land in Datagrid. The examples below show how operators can connect communication data to adjacent workflows and let agents execute the follow-through.

  • Client communication tracking: Connect Exchange email data with your CRM records in Datagrid. Agentic AI agents match inbound and outbound emails to accounts and opportunities. They flag unanswered client messages, calculate response times, and surface communication gaps across thousands of email threads at once.

  • Meeting follow-up automation: Import calendar events alongside your project management records. Datagrid agents identify completed meetings that lack corresponding follow-up tasks or notes. They generate action item lists from meeting metadata, assign owners based on attendee roles, and create task drafts for review.

  • Contact data unification: Pull Exchange contacts alongside CRM and accounting system contact records. Agents deduplicate entries across sources, merge partial records, and flag mismatches, such as a contact with one email in Exchange and a different one in your CRM. The output is a clean, consolidated contact dataset with provenance tracked per field.

  • Email attachment processing: Schedule recurring email imports. Datagrid agents extract attachments associated with imported messages, parse document contents such as invoices, contracts, and reports, and route structured data into relevant datasets. Agents compile extraction results into a summary report delivered to your team communication platform each morning.

These workflows keep communication data connected to the rest of the business. Datagrid agents execute the repetitive follow-through so teams can focus on exceptions, decisions, and next steps.

Frequently asked questions

What data can I import from Exchange into Datagrid?

The Exchange integration supports several core data types: Email Messages (inbound and outbound messages with full metadata), Calendar Events (meetings, appointments, and scheduling data), Contacts (names, email addresses, phone numbers, and organizational details), and Attachments associated with imported emails and supported events. Group calendar events do not support attachments. Select any combination during integration setup. See the full list of supported Exchange Online data objects in the Microsoft Graph Mail API overview.

How often does Datagrid sync data from Exchange?

You configure the sync frequency during setup. Scheduling options and downtime windows are managed through your Exchange dataset settings.

What authentication does the Exchange integration require?

The integration uses OAuth 2.0 authentication through the Microsoft identity platform. You need a Microsoft 365 account with Exchange Online access. During integration setup in Datagrid, you sign in to your Microsoft account and authorize data access. Datagrid manages token refresh automatically. Learn more about Microsoft Graph authentication and authorization.

Can I combine Exchange data with other datasets in Datagrid?

Yes. Once imported, Exchange email, calendar, and contact data lives in a Datagrid dataset that agentic AI agents can join with data from any other connected source. Common pairings include CRM records, project management data, and accounting data. Agents cross-reference emails against CRM accounts, match calendar events to project milestones, and reconcile contacts across systems automatically.

Is the data sync one-way or bidirectional?

The Exchange integration is one-way. Data flows from Microsoft Exchange Online into Datagrid. Datagrid does not write data back to Exchange Online. All imported data is available for analysis, reporting, and cross-referencing within Datagrid's agentic AI workflows.

Similar integrations

Teams that connect Exchange often pair it with adjacent Datagrid integrations to extend communication workflows across systems.

  • Accounting system: Accounting integration where agents cross-reference Exchange email data with invoices and payment records to track client communication alongside financial activity.

  • Data warehouse: Data warehouse integration where teams store business records that agents join with imported Exchange data for large-scale communication and relationship analysis.

  • CRM system: CRM integration where agents match Exchange emails and calendar events to accounts and opportunities for complete activity tracking.
